Finesse Academy Ltd, trading as Finesse Tuition (“Finesse Tuition”, “we”, “our” or “us”), is committed to protecting your privacy and handling personal information responsibly and transparently.

This policy explains how we collect, use, store and protect personal data when you use our websites, educational platforms, tutoring services, booking systems, revision tools, webinars and related services.

Personal data we collect

Depending on your relationship with us, we may collect:

  • account and contact details, including names, email addresses, telephone numbers and login details;
  • student information, including school year, exam board, subjects, current grades, predicted grades and target grades;
  • parent or guardian information and relationship to the student;
  • educational information, including homework, assessment results, revision activity, attendance, tutoring notes and academic progress;
  • booking, consultation, webinar and attendance information;
  • billing, payment-status and transaction information;
  • communications, support enquiries, call notes, survey responses, testimonials and feedback;
  • technical data such as IP address, browser, device, pages visited, login activity and cookie data.

We do not normally store complete payment-card details ourselves. Payments may be processed by third-party payment providers.

Children and young people

Many of our services are provided to students under 18. Where required by law or appropriate to the service, we may obtain consent or authorisation from a parent, legal guardian or other authorised person.

We only seek to collect information reasonably necessary to deliver, administer, safeguard and improve our educational services.

How we use personal data

We may use personal data to:

  • provide tutoring, revision programmes, educational resources and related services;
  • create and manage student, parent, tutor and customer accounts;
  • schedule lessons, consultations, assessments and webinars;
  • monitor attendance, homework, revision activity and academic progress;
  • personalise educational support and provide progress information;
  • process payments and manage subscriptions or programme fees;
  • respond to enquiries and provide customer support;
  • improve our teaching, websites, platforms and educational resources;
  • maintain system security, prevent fraud and comply with legal obligations;
  • send marketing communications where we are legally permitted to do so.

We do not sell your personal information to third parties.

Lawful bases for processing

Depending on the circumstances, we rely on one or more lawful bases under UK GDPR, including performance of a contract, legitimate interests, consent, compliance with legal obligations and, in limited cases, protection of vital interests.

Sharing personal data

We may share information with carefully selected service providers that help us operate our business, including providers of website hosting, cloud storage, customer relationship management, learning management, payments, accounting, email, SMS, telephone services, video conferencing, booking, forms, assessments, analytics, advertising, automation and IT support.

We may also share relevant information with tutors, employees and contractors where access is reasonably required to provide the service. Where third parties process information on our behalf, they are required to handle it appropriately and securely.

Some service providers may process or store personal data outside the United Kingdom.   • ask us to correct inaccurate or incomplete information;
  • request erasure of personal data where there is no lawful reason to retain it;
  • request restriction of processing in certain circumstances;

  • withdraw consent at any time where processing is based on consent;
  • exercise applicable rights relating to solely automated decisions with legal or similarly significant effects.

Security and data breaches

We use appropriate technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. Access is limited to people who reasonably need it for their role.

We maintain procedures for responding to suspected personal-data breaches and will notify affected individuals and the Information Commissioner’s Office where required by law.
